Sample Report Build

Let's say you want to create a report of all organisations in your Volunteer Centre that are registered for Garda Vetting.

To do this you will need to create an organisation report and filter for your Volunteer Centre and the Registered for Garda Vetting flag.

First, click on the Reports tab and click on New Report.

You will then be asked to Select Report Type.  Chose Organisations & Contacts.

As you wish to create a report of organisations only, select Organisations.

Then select Create on the bottom right hand side of the screen.

 

 

 

 You will now be asked to enter the criteria (filters) for the report. 

 

Report Criteria FieldsInstead of showing 'My organisations', you will need to show All organisations.  Click on the down arrow beside the Show field and chose 'All Organisations'.

 

The default Date Field is set to Created Date and prompts you to enter a range of dates.

In our case, we want all organisations, regardless of when they were created.  So click on the drop down arrow for Range and chose 'All Time'.

 

Now we have created a report of all organisations that are in all Volunteer Centres within the network.

Now we want to select organisations in your volunteer centre

When reporting on organisations, you MUST filter on your Volunteer Centre.  Otherwise you will get organisations across the entire Volunteer Centre network.

To add a new filter, click on Add button beside Filters.

A new line of filters will be created for you to fill.  Click on the down arrow of the first field and scroll down to select the Volunteer Bureau field.

The next field defaults to 'equals'.

Next you must select your Volunteer Centre.  Click on the search button (magnifying glass) and select your Centre.

Click ok for this filter line.

 

Now we have created a report of all organisations that are in your Volunteer Centre.

Now we need to select organisations that have registered for Garda Vetting Service.

To add a new filter, click on Add button beside Filters.

A new line of filters will be created for you to fill.  Click on the down arrow of the first field and scroll down to select the Registerd for Garda Vetting Service field.

The next field defaults to 'equals'.

Click on the search button (magnifying glass) and True. Then 

click on the Insert Selected button.

 

 

 

 

 

 

 

 

 

Click OK for this filter line.

 

Now your report selection should look like this;

You have now created the report which will show all organisations in your Volunteer Centre who have registered for garda vetting.

 You now have 3 options;

Save - To save the report so that you can use it again.

Close - Exit the report function without saving.

Run Report - Run the report to view all data meeting the criteria you have specified.

Save:

When you click on the Save button, you will be asked to enter a name, description and folder for the report.

Enter a meaningful report name so that you can find it again.  If you wish, you can enter a description for the report.  

 

You can chose which folder your report will be placed in.   If you save it in My Personal Custom Reports, only you can access this report.  

If you want others in your centre to access the report, chose the folder which is shared across your Volunteer Centre.  Click on the dropdown arrow for the Report Folder to select a different folder.

 

Click Save and Run Report.  This saves the report and also produces the report for you to view.

 

You now have completed and run the report.  

 

Customise Report

Note on tabs across the top of the report.

Run Report : Enables you to run the report again.

Hide Details: Hides the data while you are editting the report.

Customize :  Enables you to make changes to the report.

Save : Saves the report.

Save As : Saves the report with a different name / in a different folder.

Delete : Deletes the report.

Printable View : Creates a copy of the report in Excel.  Depending on your settings, the copy may be created in your downloads folder.

Export Details : Downloads the data from the report to an Excel file.

Subscribe : Creates alerts if certain conditions are met.  (Beyond the scope of this manual).
